Document Management: Accelerating Business Processes

One thing is often lost in discussions concerning the digital transformation, namely documents. Used intelligently, they make many business processes more transparent, more reliable and faster. The availability of documents and processes in the web opens up additional groups of users.

Among many other things, documents control workflows, represent best practices, support teamwork, constitute knowledge stores and provide audit trail evidence. In short, well organized document management that quickly and easily provides users with up-to-the-minute information that is relevant to them leverages value added in company processes.

In the current Release 15.1 of its Elements technology platform, CONTACT now makes important document management scenarios available in their entirety in a browser. The web interface combines familiar and new features in a modern, attractive design. Intuitive operating concepts improve the user experience and make CIM DATABASE PLM and Project Office users more productive. A homogeneous, simple navigation scheme helps them to find their way around the new app easily.

Faster search and retrieval
The search for documents is tailored to users' needs. When they call up the app, they are taken to the overview page and immediately see the search results if a custom or predefined preferred search has been stored.

If users want to launch a freely-defined search, they simply enter the required search attributes by means of a selection catalog. This new approach has two important benefits. On the one hand, users no longer have to open the full data page to perform the search. On the other hand, the process is more efficient when the number of search attributes and search terms is restricted, which is the case with most search scenarios. The search criteria used can be permanently saved as favorites.

Documents that are relevant for the user can be identified quickly since the search results show both the metadata and a preview. In many cases, this information is sufficient, which means that users can launch important operations directly via action icons. Alternatively, they can switch to the detailed view of the document.

Focusing on the content
The details page adopts a new concept: The content of the document is the focal point. But important information such as the metadata is still readily visible. References relevant to the document (such as the project it relates to) are highlighted and are hyperlinked to facilitate navigation within the current context.

If necessary, users can display additional information such as the files, tasks or workflows contained in the document. The integrated Activity Stream simplifies internal discussion about the document and supports collaborative working.

Conclusion
The new Web app benefits from CONTACT's many years of experience in document management, both technically and in terms of user experience. It provides a smart, easy-to-use tool for information retrieval, as well as for document creation and editing, that can be used on any device. The uniform design and navigation concept of the Web UI helps users to find their way around quickly in any context and to achieve what they want in just a few steps. CONTACT's browser-based document management system is now available with the new versions 11.1 of CIM DATABASE PLM and 4.1 of Project Office.
